Empower Patrons with Self-Service Exchanges
Ticket buyers can now exchange their own single (non-subscription) tickets online, without calling or emailing the box office. This saves your team time, gives buyers a faster path to a new date, and puts you in complete control of eligibility, timing, and exchange fees.
You decide what's eligible: self-service exchanges can be turned off entirely (the default), limited to exchanges within the same Ticketable Event, or opened up to any publicly-available Event Instance.
You also control the timing window, for example allowing exchanges from a month out up until two days before the event.
You can charge an optional Self-Service Exchange Fee, separate from your existing internal exchange fee, and waive it by Event Instance if you'd like to offer a fee-free exchange after a cancellation.
Buyers see an Exchange Tickets button right on their online tickets page whenever their tickets qualify for self-service exchange.
The process starts with a quick email verification step, using a customizable email template.
From there, the patron chooses which eligible items they'd like to exchange:
And then picks their new tickets.
- If you limit exchanges to within the same Event, they'll be sent to that Event to choose new tickets and notified of the limitation at the top of the page.
- If you permit exchanges to any Event, they'll be sent to your Event listing to choose new tickets.
Finally, they'll confirm their choices in a streamlined checkout, and pay any difference by credit card (or gift card, if you're using STS).
If the new tickets cost less, PatronManager treats it as an equal exchange rather than issuing a refund.
Use a Discount Code During an Exchange
Discount Codes can now be applied to new tickets during an exchange, both through PatronManager Box Office and self-service online.
Online, buyers see a Discount page as part of the exchange checkout and can apply an eligible code (relevant member discounts are applied automatically).
If the discount results in a lower price for the new tickets, buyers will be invited to add more items in order to use the discount, or check out without the discount. Self-service exchanges don't permit refunds.
In the box office, a new Manage Discounts button on the exchange screen lets your staff apply eligible discounts to the new tickets (member discounts based on Benefit Level will apply automatically). And just as you can in the main view, you can hover over the discount amount to see which code was applied.
Discount Codes and the Force Equal Value Exchange option can't be combined in the same exchange. PatronManager will show a clear message if you try to use both.
Member-limited discounts work as expected during an exchange, even if it means briefly exceeding the usage limit while the original tickets are released.
Good to know: Applying a discount during an exchange is a deliberate step (aside from automatic member discounts). Discounts don't automatically carry over from the original tickets.
Set a Global Usage Limit for a Discount Code
You can now cap the total number of times a Discount Code can be redeemed, for example setting a code to expire after 100 uses.
- Usage counts active discounted tickets, including tickets held in draft and reservation orders. This helps manage the limit during high-volume sales.
- Because the limit is checked at the moment a code is applied, a code that's temporarily maxed out may open back up later if tickets are refunded or a draft order is released.
- If a Ticket Order contains more tickets than the remaining usage on the Discount Code, the system will discount as many tickets as it can, starting with the most expensive ones.

The Discount Code page now offers an on-demand summary (first and last use date, total amount discounted, total sales, order count, and more) just a click away!
PatronManager Resources At Your Fingertips
In addition to the embedded PatronManager Help Tab and links on the various Hubs, you can now easily access PatronManager Resources from the question mark icon in the top right of every screen.
Just be sure to reference the PatronManager materials linked there - Salesforce resources are only applicable to non-PatronManager functionality.
Option to Suppress Monthly Membership Renewal Notifications
A new option in PatronTicket Settings lets you suppress the 7-day pre-renewal notification email for monthly auto-renewing memberships. The confirmation email will still send when the auto-renewal is processed.
If you're considering this, we encourage you to check with your legal counsel first, as notification requirements can vary by jurisdiction.
